Terms and Conditions

Please read these terms carefully before using our services. By engaging with StageLink, you agree to be bound by these terms.

1. Introduction and Acceptance

Welcome to StageLink Events & Rental Services ("StageLink," "we," "us," or "our"). These Terms and Conditions ("Terms") govern your use of our website, services, and equipment rentals. By accessing our website, requesting quotes, or engaging our services, you ("Client," "you," or "your") agree to be bound by these Terms.

PLEASE READ THESE TERMS CAREFULLY BEFORE USING OUR SERVICES.

If you do not agree to these Terms, you may not use our website or services. We reserve the right to modify these Terms at any time, and your continued use of our services constitutes acceptance of any changes.

2. Services Overview

StageLink provides comprehensive event solutions, including but not limited to:

  • LED Video Wall rentals and installation
  • Professional lighting systems and trussing
  • Audio equipment and sound systems
  • Stage design, setup, and fabrication
  • Event decor and styling services
  • Technical crew and support services
  • Event planning and coordination

3. Booking and Reservations

3.1 Quote Requests

  • All quotes are valid for 30 days from the date of issue
  • Quotes are subject to availability and may change based on event requirements
  • Custom quotes require detailed event information for accuracy

3.2 Booking Confirmation

  • Bookings are confirmed only upon receipt of signed agreement and advance payment
  • Equipment and services are reserved only after booking confirmation
  • Date holds without confirmation are subject to availability

3.3 Booking Changes

Changes to booking dates, venue, or requirements must be communicated in writing. Changes are subject to availability and may incur additional charges. Major changes may require a new quote and agreement.

4. Payment Terms

4.1 Payment Structure

  • Advance Payment: 50% of total amount due at booking confirmation
  • Balance Payment: 50% due 7 days before event date
  • Last-Minute Bookings: Events booked within 7 days require 100% advance payment

4.2 Payment Methods

We accept payment via: Bank transfer/NEFT/RTGS, UPI, Cheque (subject to clearance), Cash (as per legal limits), and Credit/Debit cards.

4.3 Late Payment

Balance payment not received 7 days before the event may result in booking cancellation. Late payments may incur a late fee of 2% per day on the outstanding amount.

4.4 Taxes

All prices are exclusive of applicable taxes (GST, service tax, etc.) unless specifically stated otherwise. Taxes will be charged as per prevailing government regulations.

5. Cancellation and Refund Policy

5.1 Cancellation by Client

  • 30+ days before event: 75% refund (25% cancellation fee)
  • 15-29 days before event: 50% refund (50% cancellation fee)
  • 7-14 days before event: 25% refund (75% cancellation fee)
  • Less than 7 days before event: No refund

5.2 Cancellation by StageLink

In rare circumstances where we cannot fulfill the booking due to unforeseen events, we will provide: Full refund of all amounts paid, OR Equivalent replacement equipment/services at no additional cost, OR Rescheduling to alternate dates with no penalty.

5.3 Force Majeure

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including natural disasters, pandemics, government orders, strikes, or Acts of God. In such cases, deposits may be transferred to rescheduled dates.

5.4 Refund Processing

Approved refunds will be processed within 14 business days to the original payment method.

6. Equipment Rental Terms

6.1 Equipment Condition

All equipment is provided in good working condition. Clients should inspect equipment upon delivery. Any defects must be reported immediately before use.

6.2 Equipment Use

  • Equipment must be used only for intended purposes
  • Only authorized and trained personnel may operate equipment
  • Client is responsible for equipment safety and security during rental period
  • Modifications or tampering with equipment is strictly prohibited

6.3 Equipment Damage and Loss

  • Normal Wear and Tear: Covered by rental fee
  • Accidental Damage: Client responsible for repair costs up to 50% of equipment value
  • Gross Negligence/Misuse: Client responsible for 100% repair or replacement cost
  • Loss or Theft: Client responsible for 100% replacement cost

Security deposit may be required for high-value equipment.

7. Service Delivery and Event Execution

7.1 Setup and Strike

Setup times will be agreed upon in advance. Client must ensure venue access at scheduled times. Delays due to venue restrictions may incur additional charges.

7.2 Technical Support

Technical crew will be provided as per agreement. Crew working hours are as per booking; overtime charges apply beyond agreed hours. Client must provide adequate facilities for crew (power, access, safety equipment).

7.3 Weather and Outdoor Events

For outdoor events, Client must provide adequate weather protection (tents, covers). StageLink reserves the right to halt operations in unsafe weather conditions. Equipment damage due to weather is Client's responsibility unless prior arrangements were made.

8. Liability and Insurance

8.1 StageLink's Liability

We maintain insurance for our equipment and services. Our liability is limited to direct damages caused by our negligence. Maximum liability shall not exceed the total contract value. We are not liable for indirect, consequential, or incidental damages.

8.2 Client's Liability

  • Client is responsible for venue safety and suitability
  • Client must inform us of any venue hazards or restrictions
  • Client is liable for injuries to our crew caused by venue conditions
  • Client must obtain necessary permits and licenses for the event

8.3 Third-Party Claims

Client agrees to indemnify and hold StageLink harmless from claims arising from event content or activities, injuries to event attendees not caused by our negligence, copyright violations, or violations of laws and regulations.

9. Intellectual Property

All design concepts, technical drawings, and proposals remain StageLink's intellectual property. Content displayed on our equipment must not violate copyright or licensing laws. Client is responsible for obtaining necessary licenses for music, videos, or content.

StageLink may photograph events for portfolio and marketing purposes. Client may request restrictions on photography in the booking agreement.

10. Venue Requirements and Access

Client must ensure:

  • Adequate power supply with proper specifications
  • Safe and timely venue access for setup and strike
  • Loading/unloading facilities suitable for equipment
  • Secure storage if equipment is delivered in advance
  • Compliance with venue rules and regulations

11. Privacy and Data Protection

Your personal information is handled in accordance with our Privacy Policy. By accepting these Terms, you also accept our Privacy Policy.

12. Warranties and Disclaimers

We warrant that services will be performed professionally and competently, equipment will be in good working order, and technical crew will be qualified and experienced.

Services are provided "as is" for aspects beyond our control. We do not warrant uninterrupted service in case of power failures, venue issues, or force majeure.

13. Dispute Resolution

These Terms shall be governed by the laws of India. Disputes should first be attempted to resolve through good-faith negotiation. If negotiation fails, parties may pursue mediation before legal action.

Limitation Period: Any claims must be filed within 6 months of the event date or the issue arising.

BY USING STAGELINK'S SERVICES, YOU ACKNOWLEDGE THAT:

  • You have read, understood, and agree to these Terms and Conditions
  • You have authority to bind your organization (if applicable)
  • You agree to comply with all terms, policies, and payment obligations
  • You understand the cancellation, refund, and liability terms
  • You accept responsibility for equipment care and venue coordination
